Managing the Waitlist

How the waitlist works and how to manage customers waiting for a spot.

When a session slot is fully booked, customers can join the waitlist. If a booking is cancelled and a spot opens, waitlisted customers are notified automatically.

Enabling the waitlist

The waitlist is enabled per service. Go to the service detail page and toggle Allow waitlist to on. When a slot reaches full capacity, a Join waitlist link will appear on the booking page instead of the Book button.

How customers join the waitlist

  1. 1Customer visits your booking page and selects the full slot
  2. 2They click Join the waitlist
  3. 3They enter their name and email (or sign in if already a customer)
  4. 4They receive a confirmation that they are on the waitlist

When a spot opens

When a booking is cancelled on a full session, Vastali notifies the first person on the waitlist via email. They have a window to claim the slot before the next person is notified.

Viewing the waitlist

From any booking's detail page, you can see the waitlist for that session. You can also manually remove customers from the waitlist or move them to confirmed if you choose to bypass the automatic process.

The waitlist notification and claim flow is email-based. SMS notifications for waitlist releases are on the roadmap.
